13. Winning English Academy Mobile App

This section also applies to the Winning English Academy mobile app (displayed on your device as Winning School), operated by Winning English Co., Ltd. It supplements the website policy above. The app connects students to their school account and records; available features depend on their enrollment and access permissions.

Student information and purposes

• Accounts and access: account identifiers, name, contact details, authentication credentials and session tokens are used to sign you in, secure your account and manage authorized access to linked enrollments or family members.
• Enrollment and student services: we process information you or authorized school representatives provide, including birth date, nationality, address, emergency contacts, physical details and allergy or other health-related enrollment information, to administer enrollment, student support and relevant school services. Only provide another person's information when you are authorized to do so.
• Identity and immigration documents: passport details, student photos, visa documents and entry stamps are used to check document requirements and support enrollment and immigration administration. Files may contain sensitive personal information.
• School records: class schedules, teachers and classrooms, optional-class registrations, arrival and flight details, airport pickup and transport bookings, campus information, invoices, payment status and school-issued documents are used to deliver the services shown in the app.
• Technical records: our servers process connection and request information, including IP addresses and error or security logs, to operate, troubleshoot and protect the service.

Camera, selected files and device storage

The app requests camera access when you choose to take a photo. It uploads the photos or files you select for the relevant school record. You can decline camera permission or change it in your device settings; file selection is available where supported. The app does not need continuous camera access, your contact list or background device location. Opening directions hands the campus destination to an external maps service, whose own privacy policy applies.

Session credentials are stored using the device's secure storage. Language preferences and limited schedule information may be stored locally for convenience and offline viewing. Logging out removes the app's saved session and cached account schedule; it does not delete school records held on our servers. Protect your device, particularly if it is shared.

Recipients and service providers

Information is available to authorized school personnel and, where linked and permitted, the student's agency or family account, as needed to administer the student's services. We use hosting and cloud file-storage providers, and Google Drive for relevant school-document workflows. These services may process data outside your country, including in the countries where the school and its providers operate.

For automated student-photo checks and visa-document reading, the school system uses Anthropic's Claude API. The submitted image or document and the accompanying instructions are sent to that service to assess photo requirements or extract document details. The results support school administration and may require correction or staff review. Do not upload unrelated documents. Contact the school before uploading if you have questions about this processing or need help with an alternative submission process.

Retention, correction and deletion

School records and uploaded files are retained for as long as needed for enrollment, teaching, student support, immigration administration, accounting, security and applicable legal obligations, as described above. Different records may need different retention periods. Uninstalling the app or signing out does not erase these records.

To request access, correction, account closure or deletion of your information, email contact@winningenglishschool.com with the subject "Mobile app privacy request". Identify your school account without sending your password. We may need to verify your identity and authority, including for requests about a child or linked family member. We will explain where a legal obligation or an ongoing school service limits deletion.

Students under age and photo permissions

Parents or guardians should help students under age manage their school account, document submissions and privacy requests. Please contact the school about any unauthorized access or submission. School promotional-photo arrangements are handled as part of enrollment administration. The current app does not offer a separate promotional-photo preference control; contact the school to ask about or change those arrangements. Accessing this policy is not itself a promotional-photo consent.
